Give us the deadline and either a link or the document. We will tell you within two business days whether we are bidding — and if we are not, why not, which is more useful to you than silence.
What we will send back
- A response written to your criteria, in your required format, addressing each scored item in the order you scored it.
- Itemised pricing — one-time build broken into line items, fixed annual fee, no per-visitor component.
- The vendor packet: security overview, data ownership and exit statement, accessibility statement, sample agreement, uptime summary, business details and a signed W-9.
- A straight list of anything we cannot meet. In the response itself, not in a footnote.
- Three written quotes instead, if that is your threshold route rather than a formal RFP.
If we are going to decline, we will say so quickly
A bid we cannot win wastes your committee's time more than ours. We will tell you we are out, and why, if your solicitation requires any of these today:
- An active SAM.gov registration or a UEI at submission — we have neither yet.
- A certificate of insurance at submission — cover is being placed and there is no certificate until it is bound.
- An Accessibility Conformance Report or VPAT — the audit is in progress and we will not issue a self-asserted one.
- Three references from comparable agencies — this is a new line of business and we have none.
- A performance or payment bond, or a minimum annual revenue threshold we clearly do not meet.
Everything in that list is being worked on and dated on the procurement page. Send it anyway if you are unsure — we would rather read it and tell you than have you guess on our behalf.
What happens to the document you send
It is attached to one email to our own inbox and then deleted from this server — it is never written to a public directory and never kept. If your document is restricted or under a confidentiality condition, say so in the notes and we will handle it to that condition; if it is too large for the form, send the link and email the file to us directly.
