1. Ownership
| Asset | Owner |
|---|---|
| Your content | You. Pages, posts, documents, images, listings, events — everything you or we put on the site on your behalf. |
| The design we build for you | You, for your use, in perpetuity, with no continuing licence fee and no dependency on remaining a customer. |
| Your analytics data | You. We do not aggregate it into a wider dataset, sell it, or use it to train anything. |
| Your domain | You. If you registered it, nothing changes. If we registered it for you, it is transferred to you on request at no charge — we will not hold a domain hostage to a renewal conversation. |
| Your mailboxes and their contents | You. Mail is delivered to real mailboxes you can connect to over IMAP with a standard client. |
| The Queantic platform | Ours. The analytics engine, the hosting automation and the platform code are not part of what you buy, and are not part of what you take with you. |
Nothing above is conditional on your account being current. A lapsed invoice is a billing matter; it is not a claim on your content.
2. What an export contains
- A standard WordPress content export (WXR). Every page, post, category and custom entry, in the format every WordPress host on earth can import. Not a proprietary archive.
- A complete uploads archive. Every image, PDF and document at full original resolution, in the directory structure the content references.
- A full database dump. SQL, restorable onto any MySQL or MariaDB server. Your analytics figures travel in this.
- The theme files built for your site.
- A written inventory listing what is in the export and what each part is for, so whoever receives it does not have to guess.
On request we will also extract your analytics figures into a plain tabular file. Stated plainly: there is no self-service CSV download and no analytics read API yet, so this is work we do rather than a button you press. It is on the list.
3. The export commitment
Five business days, on request, at any time
Ask and you receive the full export within five business days. You do not need a reason, you do not need to be leaving, and there is no charge. Ask again next month if you like.
One thing said upfront because you would otherwise find it yourself and wonder: the administrator role we hand a site owner deliberately cannot run an export itself. The same restriction stops that role installing code, altering hosting or changing who can reach the site — it is how we keep a site we are responsible for in a state we can be responsible for. We are aware that "you own your data, but you have to ask us for it" is exactly the sentence a lock-in vendor also says, which is why the commitment above is unconditional, time-bound and free. Hold us to it.
4. If you leave
- Tell us, in writing, any time. No notice period and no exit interview.
- Your site stays online to the end of the period you have paid for. We do not switch a public body's website off mid-month over a cancellation notice.
- The export is delivered within five business days of the request, as set out above.
- We help your next vendor import it — up to two hours of handover, at no charge, including answering their questions directly. A clean handover costs us very little and a bad one costs you months.
- Your domain and DNS are transferred wherever you direct, at no charge.
- Then we delete. Thirty days after the final export is delivered and you have confirmed receipt, your site, database, uploads and mailboxes are deleted from our production systems. The thirty days exist so that a problem found while importing is still recoverable; after that it is gone, and we will confirm the deletion in writing if you ask.
5. Public records and disclosure requests
Relevant specifically to public bodies, and usually asked about late:
- Your records stay yours. We are a processor, not a controller. If you receive a records request covering material we hold for you, we will produce it for you within five business days.
- There is no resident profile to produce. If a request asks what you hold on an individual visitor, the answer is nothing — our analytics store aggregate counters and a statistical sketch, with no per-visitor record. That is a property of the schema, not a policy we could change our mind about.
- We will not disclose your data to a third party except where we are legally compelled to, and in that case we will tell you first unless we are prohibited from doing so.
- No training, no resale, no aggregation. Your content and your figures are not used to train models, build benchmarks or create a product we sell to anyone else.
6. Retention while you are a customer
| Data | How long |
|---|---|
| Site content and uploads | Until you delete it, or thirty days after departure. |
| Analytics aggregates | Retained indefinitely while you are a customer. Nothing is trimmed, so a year-on-year comparison is possible as soon as there is a year of it. |
| In your mailbox until you or your staff delete it. We do not expire mail. | |
| Billing records | Kept as long as tax and accounting law requires, after departure, because we are not permitted to delete them sooner. |
| Server and access logs | Rotated on the host's standard schedule, and not fed into analytics. |
How your visitors' data is handled, field by field, is in the security overview, section 3 — including the one qualification we make about it.
This document is part of Queantic's vendor packet. The rest of the packet — and the two items we supply on request rather than publish — are listed on the procurement page. Questions about anything in it: ask us directly.
